Electronic Pay slips

The following pay slip email options are available:

  • Pay slips can be emailed directly to an employee as part of the payrun process and can be sent to either a business or personal email address.
  • Pay slips can be emailed while the payrun is active or deferred to a later date.
  • Pay slips for completed payruns can be reissued to an employee by email.
  • Emailed Pay slips can be encrypted.
  • Employees can be set up to access their Pay slips through Self Service on an individual basis. Viewing of Pay slips through Self Service may not generally be available to all employees.

 

Email Pay slip Setup

The following steps are used to setup employees to receive email Pay slips:

  1. To use the encryption facility, Position 15 of Program Control PYSLP is set to 'Y'.
  2. Ensure the employee has a valid business or personal email address recorded on the Personal window.
  3. Set up a system administrator email address on the Self Service Options window. Any errors that are generated during the emailing of Pay slips will be sent to this address.
  4. Use the Payment Details window to reflect the pay slip type chosen. A bulk update process can be used.

 

Encrypted Pay slips

Emailed pay slip password encryption is available for the following User Types:

  1. Employee (Preceda)
  2. Employee (SSO)
  3. Manager/Standard (Preceda)
  4. Manager/Standard (SSO)
  5. Non-User (No Login)

 

You can encrypt emailed pay slips via configuring Program Control PYSLP Position 15.

  • Setting Position 15 to Y requires users to enter a password when opening the emailed PDF pay slip.
    • For User Types Employee (Preceda), Employee (SSO), Manager/Standard (Preceda), Manager/Standard (SSO): The password to use is set on the Advanced User Setting screen's Email Pay slip Password field .
    • For Non-User Type: The password depends on the configuration in Program Control PYSLP Position 16. Position 16 looks at the Global IDs on the User Fields window to determine the password to be used by an employee who has no access to Preceda.
    • While you can save the password in lowercase or a combination of lower and uppercase in the Email Pay slip Password or GLOBAL ID fields, please note that when opening the encrypted pay slip, you will need to enter the password in UPPERCASE.

  • When Program Control PYSLP is set to N, emailed pay slips will be regular PDF files with no password required.

 

Re-Issuing Pay slips

Pay slips can be reissued to employees by using the following steps:

  1. Position 14 of Program Control option PYSLP must be set to Y.
    If set to N or left blank, only those employees who have a Pay slip Type of ePay slip and a Delivery Method of Self Service or Email in the Payment Details window will be able to receive a reissued Pay slip.
  1. To have the reissued Pay slips encrypted, Position 15 of Program Control option PYSLP must be set to Y and the employee must have access to Self Service.
    The Pay slip History Enquiry window is used to reissuing Pay slips to employees.

 

Self Service Pay slips

Employees who have access to SelfService can view their Pay slip by this method.

To allow users to view Pay slip from SelfService, ensure that the employee has a Pay slip Type of ePay slip and a Delivery Method of SelfService on their Payment Details window.
