Security Profiles

This section of the security module is used to tailor a user's ability to access certain employee records, e.g., you may allow access to only those employees who belong to a specific combination of Organisation Unit etc. This would allow you to control data entry of time cards by branch. These Organisation Units are those that are setup as part of the Organisation structure.

You may also allow a user to access only employees with a specific Pay Frequency. This would allow the control of access to the Executive payroll.

Access to Security Groups can also be controlled. This allows for the tailoring of access along whatever lines that are relevant to your organisation, e.g. you may elect to restrict your data entry staff to entering records for a particular section of the alphabet (see example below). There are no Reference Tables or choice lists attached to these Security Groups - access may be controlled in any manner you decide.

• Position 133 in Prevar *CONSOLE_OPTIONS allows the viewing of spoolfiles on Preceda Console to be restricted by Security Profiles.
• The Security Group is added to the employee's record through the Classification window. This record can be up to 10 characters.
• Security Group Example

  If access is to be restricted to employee records based on the employee's surname: In the Classification window, the first initial of the employee's surname is entered into the "Security Group" field.

  This Security Profile would be able to access all employees whose surnames started with the letters A to H - provided that the appropriate entry has been made in their Security Group record. If the feature is not required enter *ALL into the Security Group field of the Security profile.

   

Security Profiles and Headcount Reports

If restricting users from accessing headcount data in specified Organisation Units, the Security Profiles for users must be setup.

Example

If a Security Profile was setup with a Pay Frequency of W and F, the Security Group set to *ALL and the Range/Single Values is set to S, the following Organisation Structure is established.

All Units are Flagged to Include in Headcount. Report selected by Organisation Unit Level 2: Result: The Level 2 organisation Unit to which the Organisation Unit 89301 belongs would be the only Unit on appear on the report; BUT the following count conditions apply. The count would include only the Level 4 Organisation Unit 89301 and lower units belonging to 89301 that were flagged to be included in the headcount. Report selected by Organisation Unit Level 4: Result: The Level 4 Organisation Unit 89301 would be the only Unit to Appear on the Report. The count would include only the Level 4 Organisation Unit 89301 and lower units belonging to 89301 that were flagged to be included in the headcount. No higher level codes would be reported. Report selected by Organisation Unit Level 5: Result:- The Level 4 Organisation Unit 89301 would appear on the report as this upper level Organisation Unit is allowed to the user. The Level 5 Organisation Unit 8900500 would appear on the report as it belongs to the Organisation Unit 89301.
Report Selected by Specified Organisation Units Result: The Level 4 Organisation Unit 89301 would appear on the report as this Organisation Unit is allowed to the user. The count includes this Level 4 Organisation Unit and lower level units that have been specified in the selection, BUT they belong to the higher unit. The Level 5 Organisation Unit 8900500 would appear on the report as it belongs to 89301. The Level 4 Organisation Unit 89302 would not appear on the report as access is not allowed. The Level 2 Organisation Unit 8901000 would not appear on the report as the user does not have specific access to this Organisation Unit, even though Organisation Unit 89301, to which they do have access, belongs to this unit.
Report selected by specified Organisation Units The Level 5 Organisation Unit 8900500 would appear on the report as this Organisation Unit belongs to the upper Organisation Unit to which the user has access.	Org Unit Org Unit Description 8900500 Level 5 belongs to Level 4 89301.
