Define Security Profiles
Define Security Profiles provides a mechanism where a user's access to employee information can be limited to a particular group of employees.
Prerequisites
- To ensure that any changes made on this window take effect, the Process Partition Changes must be run.
- Prevar Setting *PP_ORG_POSTN_SEC determines if the Apply Position Security field is displayed.
Rules and Guidelines
- You can add more rows on the Organisation Units and Costing Levels browse lists by clicking the More Rows button on the Toolbar. Once clicked, it will add five more rows. You can add as many selections as necessary.

If either of the browse lists (Organisation Units or Costing Levels) is populated, and an employee does not match any of the records in the browse list, then they will be excluded from the Security Profile.

Enter a code of up to ten characters that represents this security profile.
The code must start with an alpha character.

This field refers to the Pay Frequencies that this Security Profile can have access to. This is used if there's a need to restrict access to employee's records by Pay Frequency (i.e. Monthly):
- Up to 5 Pay Frequencies can be selected.
- If Pay Frequencies are selected, this Security Profile will have access to employee paid on these frequencies only.

Once ticked, this field allows for the records, based on the status of the employees, to be viewed by a manager of self service.
- Active Employees Only - Only employees with a status of A (Active) can be viewed on the Manager's Self Service window.

Setting this field to 'Y' simply limits the Position Change List to only include Positions within the Organisation Structure specified in the user's Security Profile. If set to 'N', all Positions are available in the Position Change List.
This setting does not affect the visibility of employee records.
This option is only accessible if Prevar Setting *PP_ORG_POSN_SEC is set to 'Y'.

If using this feature, enter the desired characters for the From section of your group.
If not using Security Group, *ALL is entered which this ensures that if any characters are mistakenly entered into an employee's record, access will still be permitted to this Security Profile.

Based on the values entered in the Security Group From and To fields, the appropriate option is selected.
Code | Description |
---|---|
R | This access covers a range of values. Access is granted to all records whose Security Group includes and falls between the entered From and To values. |
S | This access is for a single-entered value only. |
If '*ALL' is entered into the Security Group From and To field, this defaults to 'S'.

Select from the drop-down the Organisation Unit. This will only display the Organisation levels that are in use.
You can have as many selections as you need. If you require more than five Org Units, click the More Rows on the Toolbar for additional rows.
